Anti-spam / B2B Outreach Guidance
This guidance is a practical checklist for customers using ReachForge Leads. It is not legal advice. Rules differ by country, recipient type, channel, and campaign context.
Before sending a campaign
- confirm that the recipient type and location allow the outreach you plan to send;
- use a truthful sender name, sender email, reply address, and domain;
- write a subject line that accurately reflects the message;
- include your business identity and suitable contact details;
- include a clear unsubscribe or opt-out route;
- screen the list against local and remote suppression records;
- avoid sensitive, personal, consumer, or irrelevant targeting;
- send at conservative volumes and respect provider limits.
UK B2B notes
UK rules distinguish between corporate subscribers and individual subscribers such as sole traders and some partnerships. B2B outreach to corporate bodies may be treated differently from outreach to individuals, but senders should still identify themselves clearly and provide a valid opt-out address. If personal data is involved, UK GDPR obligations may also apply.
US CAN-SPAM style checklist
For US-facing commercial email, common requirements include accurate header information, non-deceptive subject lines, clear identification of commercial messages where required, a valid postal address, a clear opt-out method, prompt honouring of opt-outs, and monitoring anyone sending on your behalf.
Good operational practice
- keep suppression records indefinitely where needed to avoid re-contacting people who objected;
- do not reuse or sell suppressed email addresses except where needed to comply with suppression obligations;
- separate transactional messages from marketing messages;
- document the source of lists and the reason you believe the outreach is relevant;
- use privacy notice links when collecting or using personal data;
- stop campaigns when complaint, bounce, or provider-warning signals increase.
