This policy explains how ReachForge Leads handles account, licensing, payment, support, suppression, website, and service data.

Who we are

ReachForge Leads provides desktop software and hosted services for business lead discovery, contact enrichment, suppression management, unsubscribe handling, payment/licence administration, and related customer support.

Controller and processor roles

For account, checkout, licensing, website, support, and security data, ReachForge Leads usually acts as controller. When a customer uses ReachForge Leads for its own outreach lists, campaigns, privacy notices, suppression decisions, and message content, that customer is usually the controller for that outreach activity. ReachForge Leads may act as a processor or service provider for hosted suppression and unsubscribe workflows.

Personal data we may process

  • account and checkout details such as name, email address, company name, VAT number, plan, payment status, Stripe customer identifiers, and invoice metadata;
  • licensing data such as licence key hashes, activation status, device name, device fingerprint, expiry, subscription status, and support notes;
  • support data such as emails, issue descriptions, screenshots, diagnostics files, app logs, and contact details supplied by the customer;
  • suppression and unsubscribe data such as recipient email address, domain, opt-out source, reason, timestamp, tenant, and audit notes;
  • website form submissions such as demo, waitlist, and contact requests;
  • technical and security data such as IP-derived request metadata, timestamps, user agent, session cookies, rate-limit records, and error logs.

How we use data

  • to create and manage accounts, licences, renewals, invoices, and customer portal access;
  • to deliver support, troubleshoot issues, and improve reliability;
  • to operate unsubscribe, suppression, bounce/complaint, and compliance-support workflows;
  • to protect the service from abuse, fraud, excessive requests, and security incidents;
  • to send service emails such as purchase confirmations, renewal confirmations, expiry warnings, failed-payment notices, cancellation notices, and password-reset emails;
  • to maintain records needed for accounting, audit, legal, and contractual purposes.

Lawful bases

Depending on the context, processing may rely on contract performance, legitimate interests, legal obligations, consent, or another lawful basis selected by the customer for its own outreach workflow.

Service providers

ReachForge Leads may use service providers needed to operate the product and website. These may include Cloudflare for hosting, security, routing, and database infrastructure; Stripe for payments, invoices, billing portal, and tax-related payment records; Resend or email providers for transactional delivery; and support or diagnostics tools used to resolve customer issues.

International transfers

Some providers may process data in countries outside the customer's location. Where required, appropriate contractual or platform safeguards should be used by the relevant provider.

Retention

  • suppression and unsubscribe records may be retained for as long as reasonably needed to honour opt-outs and prevent repeat marketing;
  • account, billing, tax, and licence records may be retained for operational, contractual, accounting, legal, and anti-abuse reasons;
  • support records and diagnostics may be retained while needed to resolve issues and maintain a useful support history;
  • where data is no longer needed, it should be deleted, anonymised, or reduced to the minimum needed to maintain suppression integrity.

Your rights

Depending on the circumstances and location, you may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. You may also have the right to complain to your local data protection authority, including the UK Information Commissioner's Office where applicable.

If your request relates to a marketing message sent by a ReachForge Leads customer, contact the sender identified in that message as well, because that sender is usually responsible for the outreach list and message content.
